Plain terms: we collect the business and shipment information needed to run the platform and arrange your freight, we share it with the carriers and service providers required to do that, and we do not sell your personal information. Your data sits in an isolated, access-controlled environment, sensitive fields are redacted from logs, and you can read your own load records. This summary is informational; the numbered sections control.
This Privacy Policy explains how Throughline Systems LLC ("Throughline Systems," "we," "us," or "our") collects, uses, shares, and protects information in connection with the Throughline Systems websites, applications, shipper and carrier portals, APIs, and related freight-brokerage and software services (the "Services"). It is incorporated into, and should be read with, our Terms of Service.
The Services are intended for business use. We are a licensed property broker and a software provider; we are not a motor carrier. By using the Services, you agree to this Policy.
1. Information we collect
Information you provide
- Account and contact details — name, business name, email, phone, role, and login credentials for shipper, carrier, and operator users.
- Carrier onboarding information — operating authority (MC/USDOT), insurance certificates, W-9/tax details, and banking/remittance information used to pay carriers.
- Shipment and transaction data — loads, lanes, commodities, pickup/delivery details, rates, invoices, bills of lading, and proof-of-delivery documents.
- Communications — messages, support requests, and documents you send us.
- Payment information — processed by our payment processor; we do not store full card numbers.
Information collected automatically
- Usage and device data — IP address, browser/device type, pages and features used, and timestamps.
- Cookies and similar technologies — used to keep you signed in, remember preferences, and understand usage (see Section 7).
- Tracking and location data — shipment status and, where you or a carrier enable it, location/ELD telematics for in-transit loads.
- Audit and log data — a record of decisions and actions taken on a load, from which sensitive fields are redacted before logging.
Information from third parties
To vet carriers and prevent fraud, we obtain authority, safety, and history data about carriers from third-party sources (for example, FMCSA and carrier-vetting providers). We may also receive information from your authorized integrations and from service providers that help us operate the Services.
2. How we use information
- Provide, operate, secure, and improve the Services, and arrange transportation on your behalf.
- Vet and monitor carriers, screen for fraud, and apply identity and banking-change controls (including a cooling period and identity re-verification before payment-detail changes).
- Generate quotes, dispatch loads, track shipments, produce documents (rate confirmations, BOLs, invoices, POD), and maintain the audit trail.
- Process payments and pay carriers, and manage billing, collections, and disputes.
- Communicate with you — service messages, status updates and nudges, support, and, where permitted, product or marketing messages you can opt out of (see Section 8).
- Comply with legal, regulatory, tax, and safety obligations, and enforce our Terms.
3. AI-assisted and automated processing
Parts of the Services use automated and AI-assisted processing to draft communications, score and screen carriers, estimate rates and transit times, and route work. We design the platform so that actions carrying material risk require a human to sign off before they happen, and so that sensitive personal information is redacted before it is written to logs or sent to observability tools. Automated outputs are decision-support, not the sole basis for legal or similarly significant decisions about you.
4. How we share information
We share information only as needed to run the Services:
- With carriers, shippers, consignees, and other transportation parties — the information needed to quote, book, dispatch, transport, track, and document a shipment (allocated to each party by role).
- With service providers / sub-processors — vendors that host and operate the platform under contract and only on our instructions (see Section 6).
- With our payment processor — to process payments and pay carriers.
- For legal, safety, and fraud reasons — to comply with law or lawful requests, enforce our Terms, protect rights and safety, and investigate fraud or misuse.
- In a business transfer — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
- With your direction or consent — when you ask us to share or connect an integration.
5. Margin and visibility
The platform enforces strict visibility tiers. Operator-only commercial information (such as internal margin and buy-side pricing) is never exposed on shipper-facing surfaces, and shipper-facing reads are projected so they cannot carry that information. You can read your own load’s decision record; you cannot read another customer’s data.
6. Sub-processors
We use a limited set of vetted sub-processors to operate the Services. Each is engaged under contract and may access data only to perform its function:
- Anthropic (Claude) — AI reasoning engine; enterprise tier with zero data retention and no training on your data.
- Supabase — database, realtime, and authentication; dedicated project per environment with row-level security on every table; hosted in the US (us-east-2).
- Vercel — application hosting and delivery.
- Inngest — durable background-job processing.
- Langfuse — trace observability; sensitive fields are redacted before any trace is shipped.
- Voice providers (e.g., Vapi, ElevenLabs, Deepgram) — the voice channel; recording disclosure is jurisdiction-aware and two-party consent is honored.
- Payment and email providers — to process payments and send transactional email.

7. Cookies and tracking technologies
We use strictly necessary cookies to provide the Services (for example, to keep you signed in and to secure sessions) and a limited set of functional and analytics cookies to understand and improve usage. You can control cookies through your browser settings; disabling strictly necessary cookies may break parts of the Services. We honor recognized opt-out signals (such as Global Privacy Control) where required by law.
8. Communications and your choices
We send transactional messages necessary to operate the Services (for example, load status, dispatch, billing, and security alerts) by email, in-app notification, push, or SMS. Where you provide a mobile number for shipment or dispatch updates, you consent to receive automated service text messages; message and data rates may apply, and you can reply STOP to opt out of SMS or use the unsubscribe link to opt out of marketing email. Opting out of marketing does not stop transactional messages you need to use the Services.
9. Voice calls and recordings
Some interactions occur over the phone using an AI-assisted voice channel. Where calls are recorded, we provide disclosure consistent with applicable law and honor two-party-consent requirements. Recordings and transcripts are used to operate, verify, and improve the Services and are subject to this Policy.
10. Data retention
We keep information for as long as needed to provide the Services and for legitimate business and legal purposes — including transportation records, tax and accounting requirements, dispute resolution, fraud prevention, and our audit trail. Retention periods vary by record type; freight and financial records are generally retained for the periods required by applicable transportation and tax law. We then delete or de-identify the information.
11. Security and data isolation
We use technical and organizational measures designed to protect information, including: a dedicated database per environment with row-level security on every table; isolation controls that prevent code paths from reading across customers; encryption of data in transit; redaction of sensitive personal information before logging; access controls; and a cooling period plus identity re-verification before any change to carrier payment details. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
12. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to opt out of certain processing. California residents (under the CCPA/CPRA) have the right to know, delete, and correct personal information, to opt out of sale or sharing (we do neither), and to be free from discrimination for exercising these rights; you may use an authorized agent. Residents of other US states with comparable laws have similar rights.
To exercise a right, email info@THLTrucking.com from the address associated with your account, or contact us at the address in Section 16. We will verify your request and respond within the time required by law. Because this is a business platform, some information is held on behalf of the business customer that provided it; we may direct certain requests to that customer.
13. Data location and international users
We operate in the United States and store and process information on US-based infrastructure. If you access the Services from outside the United States, you understand that your information will be transferred to and processed in the United States, where data-protection laws may differ from those in your location.
14. Children's privacy
The Services are for business use and are not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
15. Third-party links and changes to this Policy
The Services may link to third-party sites or services that have their own privacy practices, for which we are not responsible. We may update this Policy from time to time; we will post the updated version with a new effective date and, where required, provide additional notice. Your continued use of the Services after the effective date means you accept the updated Policy.
